A project page with progress, budget, and team at a glance

Overview

OneBob takes you from a won deal to delivered work in one place, so your sales handoff never falls through the cracks.

  • Convert a won deal into a project in one click through the apply wizard.
  • Run delivery on a project pipeline that is separate from your sales pipeline.
  • Assign team members with a weekly capacity and resource roles that carry hourly rates.
  • Track payment milestones, a budget, and time entries as the work progresses.

Estimated time: 10 minutes.

Before You Begin

  • Make sure you are on a plan that includes projects (Professional and up).
  • Define your resource roles and their hourly rates.
  • Set up a project pipeline with the stages your delivery follows.
  • Have a won deal ready to convert.
1

Create a project or convert a won deal

Start a new project from scratch, or turn a deal you have already won into one.

  1. 1 Open Projects from the main navigation.
  2. 2 Create a new project, or open a won deal instead.
  3. 3 On a won deal, choose Convert to project.
  4. 4 The conversion runs through the apply wizard so the project is set up for you.
2

Choose a project pipeline and stage

Place the project on the right delivery track from the start.

The projects kanban board with delivery stages
  1. 1 Open the project board reached via Projects in the main navigation.
  2. 2 Pick the delivery project pipeline for this work.
  3. 3 Set the starting stage on the project board.
  4. 4 Remember these stages are separate from your sales pipeline.
3

Assign team members and roles

Staff the project so everyone knows their part and you can plan capacity.

  1. 1 Add the people working on the project as team members.
  2. 2 Set each member's weekly capacity.
  3. 3 Assign resource roles that carry hourly rates.
  4. 4 Use the roles and rates to plan effort and cost.
4

Set payment milestones and budget

Split the work into billable chunks and give the project a clear financial frame.

  1. 1 Split the project value across payment milestones.
  2. 2 Use the milestones for progress billing as you deliver.
  3. 3 Set the project budget and timeline.
  4. 4 Attach files and add notes to keep everything in one place.
5

Track work through delivery

Keep the project moving and capture the effort it takes.

The project plan board for tracking tasks through delivery
  1. 1 Move the project across stages on the kanban board.
  2. 2 Log time entries against the project as you go.
  3. 3 Complete tasks as the work is done.
  4. 4 Use the board to see where each project stands at a glance.

Tips & Best Practices

  • Convert deals to projects promptly so nothing slips after the win.
  • Keep weekly capacity realistic so your plans hold up.
  • Use payment milestones for progress billing rather than one final invoice.
  • Log time as the work happens, not from memory later.
  • Use the kanban board to spot projects that are stuck.
