Upload a Word template once, then generate a finished PDF or DOCX from any deal in seconds.

Overview

OneBob document templates let you upload a Word template (a .docx file) that contains merge fields (placeholders) for customer, deal, project, and contact data, then generate a PDF or DOCX on demand. Rendering runs in the background, so the app stays fast and the browser downloads the finished file when it is ready. Administrators manage templates at Settings > Document Templates, and anyone with permission can generate a document from a deal.

Before You Begin

  • You need admin access to manage templates at Settings > Document Templates.
  • Prepare a .docx file that includes the merge fields you want filled in.
  • Know which data fields are available, such as customer company, deal value, and contact name.
  • Decide which deal stage should trigger an auto-send, if you plan to use one.

Prepare a Word template with merge fields

Build the document layout in Word and add placeholders for the data you want OneBob to fill in.

  1. 1 Write your .docx file in Word with the wording and layout you want.
  2. 2 Add merge fields (placeholders) wherever record data should appear.
  3. 3 Include the fields you need, such as customer company, deal value, and contact name.
  4. 4 Save the file as .docx so it is ready to upload.

Upload the template

Add your prepared template to OneBob so it becomes available for generating documents.

  1. 1 Go to Settings > Document Templates.
  2. 2 Upload your .docx file.
  3. 3 Give the template a clear name so your team can recognize it later.
  4. 4 Save the template to make it available across your deals.

Generate a document from a deal

Produce a finished file straight from any deal, with all data filled in for you.

  1. 1 Open the deal you want to create a document for.
  2. 2 Pick the template you uploaded.
  3. 3 Generate a PDF or DOCX, which renders in the background.
  4. 4 Wait a moment, and the browser downloads the finished file when it is ready.

Set an auto-send rule

Let OneBob email the document automatically when a deal reaches the right point in your pipeline.

  1. 1 Open the template and choose a deal stage to trigger sending.
  2. 2 When the deal reaches that stage, the rendered document emails the customer contact automatically.
  3. 3 Use this for contracts and confirmations that always go out at the same point.
  4. 4 Test with one deal before turning auto-send on for everyone.

Find generated documents on the record

Every file you create stays attached to the deal, with a record of what happened.

  1. 1 Open the deal to see every generated file saved on the record.
  2. 2 Review the audit trail to confirm what was produced and sent.
  3. 3 Re-download any earlier document whenever you need it again.
  4. 4 Use the stored history to keep a clear paper trail for each deal.
