What you will learn

The Clockify importer is part of the OneBob Zeit plan. It reads a Clockify workspace through the Clockify API, lets you decide whose timesheet receives each Clockify user's entries, and writes projects and time entries into OneBob. Nothing is imported twice, and an import can be undone for 24 hours.

Before you begin

  • The importer is part of the OneBob Zeit plan, the plan for time tracking and absences
  • You need the right to manage time tracking, which admins and managers have
  • You need a Clockify API key of a workspace owner or admin (in Clockify: Profile settings, section API)
  • Optional: set up roles with hourly rates under Settings > Roles and hourly rates, so imported entries arrive with a rate

Open the importer

The importer sits next to your booking projects.

Connect your Clockify workspace

OneBob reads your data through the Clockify API with the key you paste.

  1. 1Paste the Clockify API key and click "Load workspaces"
  2. 2Pick the workspace to import
  3. 3Optionally limit the import to a date range; leave both dates empty to import everything
  4. 4Click "Start scan". Users, clients, projects, tags and time entries are read in the background

Map users and hourly rates

After the scan you decide whose OneBob timesheet receives each Clockify user's entries.

  1. 1Each Clockify user is matched to a OneBob member by email where possible
  2. 2Pick another member, choose Skip, or invite the person to OneBob; their entries arrive when they accept the invitation
  3. 3The Primary role column shows the role that sets a member's hourly rate
  4. 4For a member without a primary role, or an invited person, pick one here; without a role the entries come in without a rate

Review and import

The preview shows what will be created before anything is written.

  1. 1Clockify projects become booking projects; an existing project with the same name and client is reused
  2. 2Clockify clients become the client label of their project
  3. 3Tags and tasks are written into the description of each time entry
  4. 4Entries without a project land on the category "Clockify (no project)"
  5. 5Running timers, breaks, time off, entries under a minute or over 24 hours and weeks already submitted are skipped and counted in the result

Check the result or undo

The result page lists what was imported and what was skipped.

  1. 1Open the timesheet or the time report to check the imported hours
  2. 2Something off? "Undo import" is available for 24 hours after the import
  3. 3Undo removes the imported entries and the projects the import created; entries in submitted or approved weeks stay
  4. 4Running the import again never imports an entry twice

Tips & best practices

  • Set up roles and hourly rates first, so every imported entry gets a rate right away
  • Import a short date range first to check the mapping, then import the rest
  • The importer does not detect overlaps with time already booked in OneBob, so import before your team starts booking
  • The API key is erased as soon as the import ends
